Software vendors push Google Docs and Outlook synchronization tool Harmony

Beijing time, March 10, according to foreign media reports, US software developer Mainsoft launched a sidebar tool called Harmony on Tuesday to help Microsoft Outlook software synchronize with Google ’s Google Docs, allowing users to use desktop Outlook software to achieve Information sharing, sending and receiving emails, downloading and uploading, document editing, etc.

Currently, the Harmony sidebar tool is still in the testing stage, and users can download it for free through the Mainsoft website.

Convenient drag and drop function

Harmony has a drag and drop function that can help users send and upload files to Google Docs via email, or view Google Docs files in Outlook. The Harmony sidebar can also follow the user's browsing, so when Outlook users open multiple emails, the Harmony sidebar always appears at the top of the screen, and users do not need to switch back and forth between different emails.

If you want to send Google Docs files by email, users only need to select the file to be sent in the Harmony sidebar and drag it to the email, and then Harmony will automatically create a link to the Google Docs file instead of sending it as an attachment.

After the recipient receives the email, click the link to open the Google Docs file. If the recipient does not have a Google account, the link will direct the user to create a Google account before reading the Google Docs file. Harmony can also allow senders to set modify and view permissions before sending.

By default, Harmony sends Google Docs files as links. Users can modify the settings according to their own preferences and send Google Docs files as attachments.

If you receive a document, spreadsheet, PDF, or presentation via email, users only need to upload the attachment to their Google Docs account. The upload method is also very simple: drag the attachment to the Harmony sidebar.

Contact display

After installing Harmony, users can read Outlook and Gmail contacts at the same time through Outlook software. However, these contacts will not be synchronized or merged, and Harmony only displays the contacts of both services at the same time. In other words, if the user's Outlook and Gmail have a common contact, then they will see a duplicate display.

Document finishing

Just like Google Docs, Harmony allows users to filter files by different types. At the bottom of the Harmony sidebar is the document filtering settings, users can view all files, or only view text documents, table documents, PDF documents, or folders.

After filtering the documents, users can click the arrow at the upper right of the Harmony sidebar to sort the documents, for example, according to the owner, title, or last modification time of the document. By clicking the share button, Harmony can also enable users to view the modification permissions of a certain document or a folder, and at the same time a dialog box will pop up, allowing users to add or delete all types of permissions of all their own documents.

Google Docs ’Harmony sidebar also has a search function to help users find documents through search without scrolling through the document list.

Document creation and modification

Harmony allows users to create a new Google Docs file, but to modify it, users need to drag the file into Outlook or open the file online. After dragging the file into Outlook, the equivalent Microsoft Office program will automatically open. However, considering how Google Docs works, users must constantly modify the file suffix name, for example, modify .doc or .xls to the corresponding file suffix of Google Docs.

For Outlook users who like to use Google Docs for online document collaboration and storage, the Harmony sidebar is a very practical tool. Currently, Harmony only targets Outlook 2007. Mainsoft said that after Office 2010 came out in June this year, the Harmony tool for Outlook 2010 will also be launched in time. The current version of Harmony is free for users. Mainsoft said that the enterprise version is under development.
